How to Manage Brand Assets in Videospan

Videospan lets you centralize all your brand assets — so every video, template, and AI-generated repurposing stays perfectly on brand.
You can manage images, videos, fonts, brand voice, colors, and audio directly inside your workspace and use them everywhere across the platform.




What Are Brand Assets?

Brand assets define your organization’s visual and tonal identity inside Videospan.
They include:

Asset TypePurpose
ImagesLogos, backgrounds, overlays, and graphics used in templates and videos
VideosIntro/outro bumpers, B-roll, and reusable brand clips
FontsUsed for captions, lower-thirds, and on-screen text
ColorsDefines your brand palette for text, overlays, and animations
AudioBackground tracks, sound effects, or voiceover snippets
Brand VoiceAI-based tone and style applied to text and auto-generated repurposings

All assets are instantly available across:

  • The Template Builder

  • AI Repurposing tools (for automatic brand-aligned outputs)

  • The Video Editor


Uploading Brand Assets

  1. Go to Brand Elements in your left navigation panel.

  2. Click Upload Existing File.

  3. Upload from your computer

  4. Add a name for easy reference.

  5. Click Save.

Your new asset will now be available to select in templates and editing workflows.

Tip: Upload high-resolution PNGs for logos and MP4s for bumpers to ensure the best playback quality.


 Editing, Copying, or Deleting Assets

Edit an Asset

  1. Hover over the asset and click Edit.

  2. Update metadata (name, tags) or replace the file with a new version.

  3. Click Save Changes.

All updates automatically appear wherever that asset is used.

Note: Images and videos are version-controlled, so older versions remain available if you need to roll back.


Copy an Asset

  1. Hover over any asset and click Copy.

  2. A duplicate will appear, ready for you to rename or tweak (for example, to test a variant of a logo or color).


Delete an Asset

  1. Select the asset you want to remove.

  2. Click Delete and confirm.

  3. Any templates or posts using that asset will revert to default settings or placeholders.


Creating Assets from Scratch

You don’t have to upload everything — you can also create new assets directly in Videospan’s editor:

  1. Click Create With Editor.

  2. This is available with Images and Videos

  3. Use the built-in tools to design or record directly inside the platform.

  4. Save to your brand library for immediate use.

Examples:

  • Create a quick animated logo intro

  • Record a branded voiceover using your AI brand voice

  • Design a lower-third overlay with your color palette


Version Control for Videos and Images

Videospan automatically tracks versions of all uploaded images and videos:

  • Every edit creates a new version while keeping the old one archived.

  • You can preview and roll back to any previous version at any time.

  • Templates and published content always use the most recent approved version by default.


Best Practices

  • Maintain a centralized brand library for all departments and teams.

  • Limit image and video file sizes for faster rendering.

  • Use descriptive names (e.g., Logo-Light-Transparent.png).

  • Keep your color palette consistent across templates.

  • Regularly review version history to retire outdated assets.
